Responsibilities: The Administrative Assistant will work to support the entire Education Department at the Saint Louis Zoo and at Wild Care Park through directly supporting the Director of Education and the Department’s Management Team. The Administrative Assistant will work to ensure operational excellence that meets the Zoo’s Educational mission, philosophy, goals and objectives. An excellent communicator, who thrives in a team-oriented, fast-paced, open office and innovative atmosphere, is essential. Responsibilities include coordinating and managing electronic and hard copy filing and tracking systems of essential staff records, company credit cards, grants, budgets, reports and other records as needed. They will schedule meetings with internal and external groups, take minutes or record meetings and archive them accordingly. They will work with relevant Zoo departments and vendors to project manage promotion and marketing of Education programs and activities. They will prepare and edit a variety of documents, creating spreadsheets and PowerPoint presentations, coordinate calendars and appointments, reconcile expense reports and manage related records. Responsibilities include answering phone calls, data entry, photocopying, faxing, scanning and ordering supplies. The successful candidate will assist in resolving administrative problems, execute special projects and perform all other related duties as assigned. Position reports to the Director of Education.
Qualifications: High School diploma or equivalent required. College coursework or vocational school education courses (in computers, communication, or business) required, or relevant experience. 3+ years of administrative support experience required with an emphasis on project management. Proficiency in Microsoft Office Suite, Microsoft Teams and Zoom vital. Excellent verbal and written communication skills. Detail-oriented, strong problem solving and organizational skills required. Ability to handle multiple projects with accuracy and attention to detail. Ability to interact with staff and visitors in a positive and professional manner at all times. Ability to handle sensitive information with the highest degree of integrity and confidentiality. Ability to multi-task and prioritize work in a fast paced and deadline driven environment. Knowledge of operating standard office equipment, office management systems and procedures required.Working a few evening events and weekends may be required.
