Thompson Coburn LLP currently has a non-exempt position available in our Los Angeles office for a full-time Receptionist to greet and receive visitors and employees. This position serves a critical function as the first point of contact for the Firm’s clients, employees and guests. Preferred applicants will have a high school degree or equivalent and at least one year of prior receptionist experience.
Job Responsibilities

Greets office visitors professionally and courteously. Determines nature of visitors’ business and provides appropriate information, referring visitors to appropriate staff members, departments or conference rooms.

Acts as a concierge for the 19th floor. Assists staff, attorney and clients with various tasks such as copying and faxing, and maintains a log of incoming and outgoing packages.

Answers and routes incoming calls on a multi-line telephone system.

Pages staff and attorneys overhead

Schedules conference rooms and arranges other requirements as needed.

Sends out via email the Firm’s daily conference center schedule and visitor list.

Coordinates catering services for client and department meetings as needed.

Maintains work area and lobby in a clean and orderly condition.

Helps to maintain security by following building procedures.

Validates guest parking as directed.
-
Updates firm contacts using the Firm Contact Manager.

Occasionally processes reimbursements through Chrome River.

Provide backup support for Inputting attorneys' billable hours using Aderant Time Entry/Time Edit.

Schedules car service and visiting office(s) for attorney/staff visits.

Keeps track of purchases made with the firm credit card.

Assists with obtaining parking and building access cards.

Communicates with building management regarding requested repairs, maintenance, etc.

Files documents in electronic firm database as needed.

Indexes and updates hard file as needed.

Assists other departments with various projects.
Job Requirements

Must have ability to maintain regular attendance and punctuality.
-
Must have knowledge of daily schedule in Conference Center in order to direct attorneys and staff to correct rooms.

Must have ability to use interpersonal skills to deal effectively with visitors/clients in person or on the telephone.

Must have ability to analyze problems and make decisions.

Must be proficient with Microsoft Office.

Must possess a high level of professionalism and appropriate interpersonal skills so as to be able to work well with employees at all levels within the organization and maintain all information in the strictest of confidence. Required to use tact and diplomacy when dealing with others.

Must have ability to read, write and communicate fluent English; ability to compose documents in the appropriate business style using correct grammar and spelling; ability to communicate clearly using proper grammar and diction over the telephone.

Must possess attention to detail, ability to balance multiple projects and have strong time management skills.

Must have ability to reason and apply common-sense understanding to situations encountered.

Ability to process routine daily functions while being able to resolve sensitive issues and complex assignments utilizing above average critical thinking skills.

Ability to work overtime as needed.
The physical demands of this position are representative of those that must be met by an employee in order for him or her to successfully perform the essential functions of the position. These include being both mobile and stationary throughout the work day, having the ability to transport 20 pounds and being able to operate a computer and other business equipment found in the office.
