- RECEPTIONIST-
Thompson Coburn LLP currently has a non-exempt position available in our St. Louis office for a full time Receptionist to provide support services for all attorneys, secretaries and staff personnel by greeting and receiving visitors and employees, and Conference Center scheduling. Preferred applicants will have a high school degree or equivalent. The person selected for this position must have excellent customer service skills and be able to work closely with a diverse group of people in a fast-paced environment.
Job Responsibilities

Opens and closes reception area daily.

Greets office visitors professionally. Determines nature of visitors’ business and provides appropriate information, referring visitors to appropriate staff members, departments or conference rooms. E-mails office visitor information to the Firm.

Answers calls placed to the main telephone number.

Pages staff and attorneys as needed.

Prepares and e-mails the Firm’s Daily Notices and New Client/Matters.

Prepares and e-mails weekly information regarding all attorney luncheon.

Schedules conference rooms and other requirements as needed. Communicates event and special needs for before or after hours event coverage.

Enters catering information into Meeting Room Manager and circulates daily conference room schedule.

Submits maintenance requests to building property management.

Screens and posts classified ad information on TC Connect.

Maintains work area in a clean and orderly condition.

Assists attorneys, staff and clients with various tasks and gathering information as needed.

Processes and posts unidentified mail and faxes.

Obtains building access cards for new employees and deactivates access cards for terminated employees.

Maintains and updates procedure manual for reception desk.

Acts as the focal point of contact to initiate emergency procedures as needed.

Assists other departments with various projects during down time.
Job Requirements

Must have knowledge of daily schedule in Conference Center in order to direct attorneys and staff to correct rooms.

Must have ability to use interpersonal skills to deal effectively with visitors/clients in person or on the telephone.

Must have ability to analyze problems and make decisions.

Must possess a high level of professionalism and interpersonal skills so as to be able to work well with employees at all levels within the organization and maintain all information in the strictest of confidence. Required to use tact and diplomacy when dealing with others.

Must have ability to read, write, and communicate fluent English; ability to compose documents in the appropriate business style using correct grammar and spelling; ability to communicate clearly using proper grammar and diction over the telephone.

Must possess attention to detail, ability to balance multiple projects, and strong time management skills.

Must have ability to reason and apply common-sense understanding to situations encountered.

Ability to process routine daily functions while being able to resolve sensitive issues and complex assignments utilizing above average critical thinking skills.

Ability to work overtime as needed.

The physical demands of this position are representative of those that might be met by an employee in order for him or her to successfully perform the essential functions of the position. These include being both mobile and stationary throughout the workday, having the ability to transport 20 pounds and being able to operate a computer and other business equipment found in the office.
