Thompson Coburn LLP currently has a non-exempt position available in our St. Louis office for a full-time Closed File Clerk with at least one year of office service and customer service experience. Qualified applicants will have a high school diploma or equivalent. The person selected for this position must be able to work in a fast-paced environment.
Job Responsibilities

Delivers and picks-up files and boxes within all the floors of the Firm.

Contacts (via email and/or phone) offsite storage vendors to request deliveries and pick-up services. Resolves disputes regarding conflicting information in their database to our database.

Intellectual Property File Room: per email request, pulls and delivers active files from the open file system that contains 20,000+ files and which are accessed multiple times daily. Retrieves and returns files to their proper locations within the file room. Searches for misfiled files and assists with the reorganization of files as needed.

Shredding: Moves large cans on wheels (59-96 gal) around all of the floors of the Firm to collect the contents of the 20-25 shredding consoles located in the copy rooms and administrative departments within the Firm. Assists in moving the full cans (59-96 gal weighing up to 450 lbs.) to the loading dock for the shredding vendor to collect the contents of the cans.

Inventories the Corporate Minute Book Room on a bi-monthly basis by accessing and updating the main list kept in a Microsoft Excel document located in the Desksite system.

Updates the Firm’s opinion letter index, kept in a Microsoft Word document located in the Desksite system. Places the Firm’s opinion letter in chronological order (as in the index) within the proper binder kept in the Corporate Minute Book room.

Vault: per email communication, enters new item information in the Vault Database, generates two copies of the Vault Receipt for each item, signs and dates both at the time of exchange for the sealed item with our legal staff. Goes to the Vault located in the basement of the US Bank branch in the building next door to our office to deposit and/or retrieve items as requested by our legal staff.

Covers the 30th floor Intellectual Property File Room as needed.

Project Scanning: Transports individual files and entire boxes of documents from legal staff to and from the Service Center for scanning. Profiles (organizing document and creating the scan cover sheet), quality checks (page by page comparison of the paper copy to the scanned image searching for inaccuracies prior to destruction) and destroys paper documents after approval.

Scanning: uses a multifunction copy/scanner and converts paper document into PDF’s (scanned images) for both legal documents and administrative documents per Closed File Supervisor’s notice.

Assists with bulk items (furniture, empty shelving units, folding tables, etc.) and transports them as needed per Management, or Attorney’s needs.

Assists legal staff with locating files in the FileSurf and FFM databases.

Assists with internal office moves by delivering empty moving boxes before and pick up of empty moving boxes after the moves.

The physical demands of this position are representative of those that must be met by an employee in order for him or her to successfully perform the essential functions of the position. These include being both mobile and stationary throughout the work day, having the ability to transport 50 pounds and being able to operate a computer and other business equipment found in the office.
