Executive Assistant

Our Executive Office is seeking an Executive Assistant to manage the administrative duties of the Executive Office.  This person will serve as personal and confidential assistant to the Executive Office.  
 
Responsibilities include but are not limited to:
  1. Provide support to the Executive Office, to include greeting and assisting visitors to the office, screening telephone calls, scheduling meetings, travel arrangements, coordination of meetings and conferences, financial record keeping, drafting and editing various documents/correspondences, and sorting incoming mail.
  2. Perform routine clerical duties, such as typing, faxing, copying and other tasks as needed in accordance with standard office procedures.
    1. Create and develop diagrams, charts, spreadsheets, power point or other graphic presentations. 
    2. Track and follow up projects and assignments. 
    3. Prepare information and materials for meetings.
  3. Prepare meeting summaries and action plans from comments and notes, and communicate assignments.                                                                           
  4. Ensure issues brought to the Executive Office’s attention have been adequately researched, analyzed and alternative solutions identified and explored. Ensure all concerned have concurred or otherwise commented. 
  5. Participate in special projects and inquiries, which may be of a high priority in which the Executive Office has an immediate interest. Independently, or in conjunction with staff, ensure issues are identified, reference materials are assembled, and the basis for Executive Office’s action completed. 
  6. Provide coordinating services for the FONZ and Zoo Advisory Boards. 
  7. Act as a liaison with other departments and Board of Directors. Handle confidential and non-routine information. 
  8. Attend assigned Board meetings and committee meeting, and record minutes. 
  9. Manage VIP tours, including conducting tours as needed.
  10. Perform other duties as may be assigned.
