Responsibilities
- Answer tenant calls
- Make copies and distribute as necessary
- Mail, fax, and courier documents
- Handle phone calls regarding various issues and dispatch maintenance personnel as needed
- Type various correspondence
- Create spreadsheets
- Prepare and coordinate weekly meeting reports
- Prepare lease summaries for new tenants
- Maintain the operations manual
- Assist Property Manager with rent collections
- Maintain file systems for the management office
- Maintain and establish master lease files
- Draft correspondence on various matters pertaining to property management
- Update tenant and employee listings with emergency numbers
- Update and prepare monthly reports for certificates of insurance
- Code all invoices, shipping tickets, purchase orders, etc.
- Provide administration for the building’s access system
- Assist with preparation of vendor contracts and letters of agreement
- Maintain schedule for conference room availability
- Prepare invoices of billed back items
- Provide administrative support to the Chief Engineer
Requirements
- Bachelors Degree required
- Minimum of 1+ years of professional experience
- Proficiency with Microsoft Office Suite
- The qualified candidate will be detail oriented, able to handle multiple projects simultaneously, extremely professional, and customer service oriented
