Responsibilities
- Provide administrative support to senior-level executives
- Provide primary support for Occupier Services - Office Tenant Representation, and provide secondary support for Industrial Tenant Representation, Project Development Services
- Act as team lead within area of support, overseeing all work and delegating responsibilities as necessary
- Responsible for Alteryx database
- Work independently and together within a team on special non-recurring and ongoing projects
- Act as a project manager for special projects, at the request of the executives and/or their direct reports, which may include planning and coordinating multiple presentations and disseminating information
- Act as a liaison with other departments and outside agencies; including executive-level staff
- Co-manage executive calendar/schedule; schedule and organize complex activities such as meetings and travel
- Perform advanced word processing, graphics, spreadsheets, database, proposals, and presentations within Word, Excel & InDesign
- Initiate and respond to executive correspondence as well as handle confidential and non-routine information
- Prepare expense reports, obtain receipts as needed, and reconcile all credit card charges accurately
- Shared duty of input of deal entry and department Pipeline quarterly within ReApplications and maintenance of department CRM updates
Requirements
- High School Diploma
- 5+ years of experience supporting executive level professionals
- Or any similar combination of education and experience
- Commercial real estate experience a plus
- Advanced proficiency with Microsoft Office Suite
- Proficiency with Adobe Creative Suite (working knowledge and experience with InDesign and Photoshop)
- Access knowledge a plus
- Excellent interpersonal skills with ability to handle confidential information and situations discreetly
- Excellent oral and written communication skills (including spelling and grammar), professional phone skills, organized, self-starter, ability to set priorities and meet deadlines
- Strong initiative and ability to work as part of an administrative team
- The qualified candidate will be detail oriented, able to handle multiple projects simultaneously, extremely professional, and customer service oriented
