Responsibilities

Consistent and thorough entry of branch/district issues in tracking system

Respond to initial requests in a timely manner

Obtain pertinent background information from appropriate parties

Communicate frequently with landlords and vendors to resolve issues

Communicate project status updates to client via email and phone
-
Able to respond to objections, disagreements, and conflicts with contractors, field personnel, or landlords while remaining calm and logical at all times

Possess understanding of floor plans, specifications, materials, furniture, signage, finishes, and operation of building components such as HVAC, electrical, plumbing and utility systems

Review and coordinate requests for renovations, repairs, and maintenance

Approve, schedule, and coordinate projects with landlords, vendors, field personnel, and team members
-
Request and submit work orders, bids, and proposals from vendors
-
Provide pertinent information and offer reasonable recommendations in order for the client-partner to make an educated decision
-
Review pricing/scope of work and approve bids
-
Record approved bids in tracking system
-
Verify final invoice pricing and process payment in a timely manner
-
Identify and record all savings
-
Monitor vendor performance
-
Create and record appropriate written communication between all parties when necessary

Reference leases and follow lease procedures on default
-
Make arrangements for preventative maintenance contracts

Carry out special projects utilizing available resources

Request, review, and administer property manager contracts, if assigned

Assist in training new associates on facility management processes
Requirements
-
4 year degree or equivalent work experience
-
After employment, must procure and maintain a state real estate salesperson's license
-
Proficiency with Microsoft Office Suite

Strong interpersonal skills

Basic understanding of statistics/quantitative analysis and basic understanding of finance

Ability to review and understand leasing documents and vendor proposals
-
Ability to problem-solve independently with minimal direction from supervisor

The qualified candidate will be detail oriented, able to handle multiple projects simultaneously, able to prioritize work flow, extremely professional, and customer service oriented
